FreshBooks Integration with Quote Roller


Focus:
The focus of this document is to provide you steps on how to integrate from FreshBooks into your Quote Roller Account.

What does this integration do? This integration will allow you to sync contacts from Freshbooks and be able to create an invoices in Freshbooks from Quote Roller.

Please note: When creating proposals in Quote Roller, then using the button “Create Invoice in Freshbooks.”, if you use any Catalog-Subscriptions or discounts for your pricing table, these items will not be sent over to the Freshbooks. for the invoice. Also, if you have Catalog items that longer than thirty (30) characters in length, the Name will truncated. We recommend having the item name be less than thirty (30) characters.Due to the differences between Freshbooks. Invoices and Quote Roller Proposals, we are unable to include: taxes, and discounts to the Freshbooks. invoice. After you send this information over to Freshbooks. you can add this information manually to the invoice.

Step 1:  Login into Your Quote Roller Account.

Step 2: Click on Settings, then Integrations. Find the “Freshbooks” integration and click on Enable.

Step 3: Setup FreshBooks Integration. Enter in the Domain Name and Authentication token.

A. How to locate your Domain Name and authentication token
a. Go to http://www.freshbooks.com and login.
b. Click on ‘My Account’
c. You will see the API URL and Authentication Token
i. In the API URL Box, copy for domain name, excluding the https:// and anything after the .com  For example: quoteroller-recievables.freshbooks.com
ii. Copy the Authentication Token and paste this into the Authentication token box in Quote Roller. 
d. Click Save.
e. Quote Roller will process this request, if you do this correctly, if you will get the following message, “Your Freshbooks settings have been saved successfully.”.

Step 4:  Freshbooks Settings

A. Sync Contacts. Click the sync Button. After this has been completed, you will receive an email message from Quote Roller that the contacts have been imported. For your convenience with also provide you with a .TXT file of the contacts that were imported into Quote Roller.
B. Create Invoices from proposals. Check this box if you would like to create Invoices in FreshBooks from Quote Roller.

Congratulations, you have successfully integrated your Fresh Books Clients into Quote Roller!

Step 5: Viewing your FreshBooks clients in Quote Roller. Click on Clients. Any clients with the FreshBooks “Icon” came from FreshBooks.

Step 6: Create Invoices in FreshBooks from Quote Roller. Go through the proposal process and either Send the proposal to your client or use “Save As Sent”. On the right, you will see the option to create an invoice with FreshBooks. Once you have clicked this option, Quote Roller will prompt if the client is not in FreshBooks. Click Save and now this invoice will be FreshBooks. Please note: Quote Roller, Catalog-Services will be sent over to Freshbooks as Tasks, Catalog-Products will be sent over to Freshbooks as Items. We do not send over Quote Roller Catalog-Subscriptions to Freshbooks at this time.

Step 7: Re syncing and reviewing the last sync. If you ever need to re sync or obtain date/time of the last sync. This can be done under Clients > Import Contacts.
